What is covered by this notice?

WebshopCompany Ltd, as a service provider, relies on the use of personal data to operate Adhoc.Support advocacy community and is responsible for the safe collection and use of your data. This starts by being clear about how we collect, use and protect your personal information. This notice explains how we use cookies when you visit our website. Please note that our Customer and Marketing Privacy Statement applies if you choose to submit personal information to us through one of our web forms, such as a contact form, download form, join form, etc. This means that we decide why and how we process the data.

WebshopCompany Ltd comprises several companies, each of which separately controls the information visitors provide to our website. WebshopCompany Ltd. (hereinafter referred to as “we”, “us”, “our” or “WebshopCompany”) is the controller of your personal data.

With whom we may share your personal data

In order to use your personal information as described above, we may share it within WebshopCompany and with trusted third parties who provide services to us. Below is some more information about the types of organisations and what we may share with them.

WebshopCompany Ltd. companies. This means that we may transfer some of the personal information we collect to companies in the WebshopCompany group located in different countries. For example, if teams in other locations would need access to cookie data for analytical purposes, we may do so. For analysis purposes only, anonymously.

Our service providers. These organisations process data on our behalf. They only have access to the personal data they absolutely need to provide the service and in all cases, we have contractual safeguards in place to ensure that the data is not disclosed or used for other purposes.
Our service providers fall into the following categories.
Web application firewall (protects web applications by filtering and monitoring HTTP traffic between the web application and the Internet)
Cookie consent management platform (allows us to inform you about the use of cookies and to ask for your consent to use cookies)
Other organisations;
we need to share personal information to establish, exercise or protect our legal rights, including with our legal and other professional advisers;
we are restructuring our business, or if we are selling the business, we may share your data with a prospective buyer;

Transfer of personal data outside the EEA

If your physical address is in the European Economic Area (“EEA”) or Switzerland, we will take all steps reasonably necessary to keep your personal data within those territories. In some cases, however, we may need to share your information with other WebshopCompany Ltd. group members or third parties located in countries outside of those areas. These countries may not have similar data protection laws and may not protect your personal information to the same extent. In these cases, we will put in place appropriate safeguards to ensure that your personal data is adequately protected.

Specifically, we use the following:

Standard contractual clauses: we use standard contractual clauses for the transfer of personal data to entities outside the EEA. These contractual commitments have been adopted by the European Commission and ensure adequate protection of personal data transferred to countries outside the EEA by requiring recipients of personal data to comply with certain data protection standards, including the obligation to apply appropriate technical and security measures. We use standard contractual clauses when transferring data to other Adhoc.Support = WebshopCompany Ltd. corporate community members and when transferring data to recipients located in countries that are not covered by the Compliance Decision (see below).

Where the European Commission or other relevant competent authority has determined that a country outside the EEA or Switzerland provides an adequate level of data protection, personal data may be transferred to that third country without implementing the other safeguards mentioned above. WebshopCompany Ltd. may rely on adequacy determinations when transferring data to companies located in countries where such safeguards have been granted.

How we store and protect your personal data

We do our best to protect your personal data from loss, misuse, unauthorised access, disclosure, alteration and destruction.

This section describes the measures we take to keep your personal information secure

We use data centres that have high physical security measures in place to store and protect your data and our systems;
We conduct independent penetration tests annually and continuously monitor our systems and applications for vulnerabilities; if you believe you have found a security problem or vulnerability in one of our systems, please contact us at wsc@WebshopCompany.uk or, in the event of a serious problem, report it to our other contact details.
Your personal data is encrypted using TLS in transit and AES256 encryption in storage;
We only allow access to your attributable data (by this we mean your directly identifiable data) to those WebshopCompany employees and contractors who need it to perform their job duties, such as our customer service team, so that they can respond to you in writing when you contact us;
We make security the responsibility of all our employees and contractors and train our staff to recognise security risks and protect your personal information.

Our website may from time to time contain links to and from other websites. If you follow a link to such websites, please note that these websites may have their own privacy notices and that we cannot accept any responsibility for these websites. Please check these privacy notices before submitting your information to these websites, even if we have directed you to that site for a particular purpose.

Your rights in the Adhoc.Support community

There are a number of ways in which you can control the personal information we hold about you, which is designed to give you more choice and control over your personal information. These rights are described below. Please note that as this notice relates to the use of cookies, without further information it may be difficult or impossible for us to identify you in our systems when you visit this website. If you provide your information through a web form, such as a contact form or download form, please read our privacy statement there.

Your right to request access to your personal data

You can request confirmation that we are processing your personal data and a copy of the data we hold and related information (including when you gave us permission to use your data). This is available in our system digitally and time-stamped through your customer account at any time.

Right to request rectification of personal data

You may ask us to correct inaccurate data about you and to complete incomplete data held about you.

Right to request the erasure of personal data

You can ask us to delete the personal data we hold about you.

Right to withdraw your consent

If you have already given us your consent to use your personal data, you have the right to change your mind at any time and withdraw your consent.

Exercising your rights in Adhoc.Support

You can exercise any of the rights set out above by contacting us using the contact details below. Once you have submitted your request, we will contact you through our electronic customer interface. If you have not logged in through our interface and your identity cannot be verified through this method, we may contact you to request additional information to verify your identity (as we want to make sure that you are the person requesting your information). Except in rare cases, we will respond within 1 month of receiving this information or, if no such information is required, we will complete the process within 30 days of receiving a full explanation of your request. While some rights apply generally, others are only available in certain circumstances, so if we feel that a right does not apply to you, we will inform you of this and explain the reasons for our decision.

Complaining to the regulator

You have the right to complain to the data protection regulator if your legal rights have been infringed or if your personal data has been used or is being used in a way that you believe does not comply with data protection law. You may also have the right to seek judicial redress.
